Wedding Policies and Procedures

Yorktowne Farms Events Venue is rented for weddings, galas, and business functions, clients and their outside vendors understand that the historical property and its furnishings require rules and regulations that respect the antique nature of the building. The management of Yorktowne Farms reserves the right to accept or reject any event application which is felt inappropriate to the property. 

 

We Offer

Historic Bank Barn Maximum 150 people

  • Use of venue from Thursday to Monday

  • Use of Bridal Suite on day of wedding (beginning 2024 season)

  • Tables, chairs (for both ceremony and reception)

  • Tables for your event:

    • 21 - 5 ft round tables

    • 2 - 4 ft round tables

    • 6 - 8 ft long rectangular tables

    • 2 - 6 ft long rectangular tables

    • 2 - 4 ft x 4 ft tables

    • 6 pub tables

  • 150 White chairs for ceremony

  • 150 White chairs for reception

  • 2 in house restrooms

  • 20 x 40 white tent with sides

  • Parking area for cars

  • Food Prep Area: Space for caterer to set up food.

  • Refrigerator with freezer for ice storage.

  • Sink with hot/cold water for caterer

  • No stove or oven

 

Furniture Arrangement/Equipment 

Yorktowne Farms will provide tables and chairs for set up by the client for both ceremony and reception.

 

Time

The space is reserved from Thursday before the event beginning at 8:00 am until the following Monday at 12:00 pm.  Use of the bridal suite is on the day of the wedding beginning at 7:00 am until the beginning of the ceremony. All set up and clean up must take place during this time.  Music must be done by 10 pm with all guests, vendors, and wedding party off premises by 11:00 pm.

Cars may be left in the parking area following the ceremony until 12:00 pm Sunday afternoon.

 

Food Prep Area

Caterer of choice is welcome. The individuals may use the sink and the refrigerator, freezer to store ice .  Cleanup is required at the end of event time. 

 

Outside Vendors

All 3rd  party activities and/or entertainment must provide proof of insurance and be submitted to Yorktowne Farms for approval prior to the event. Checks may not be left at Yorktowne Farms to pay outside vendors associated with the function. The client accepts responsibility for the activities and actions of any outside vendors.  Delivers can only be made to the facility prior to event with permission of manager.  We are not responsible for storage of flowers, fountains, cakes, etc. Users are financially liable for damage to the facilities.  At Yorktowne Farms discretion, we reserve the right to reject any vendor with whom we have had a previous negative experience. 

 

Caterers: You choose your caterer.

Caterers must submit a copy of their current county eating & drinking establishment license or equivalent and certificate of insurance showing coverage for liability (property or bodily injury) prior to event.  If they are new to venue, they must visit prior to event.

 Alcoholic beverages may be provided by the client, but MAY ONLY be served by trained licensed bartenders provided by your caterer.  The services of alcoholic beverages are prohibited to minors and to visibly intoxicated individuals.  Bars must be attended at all times and must close by 10:00 PM.

Shots of any kind are prohibited

Any breach of this agreement will be grounds for event cancellation and loss of security deposit. 

 

Clean Up/Trash Removal

Organizations and individuals are responsible to dispose of their own trash in dumpsters located by the parking area. Trash cans are to be left completely empty upon leaving. There is a $60.00 service-cleaning fee to every rental. 

Individual is responsible or ask caterer to clean food prep area and return all borrowed items to their proper place.

Scheduling/Eligibility

Requests for use of reservation will be made through Yorktowne Farms Applicants must be 18 years of age or older.

Scheduling is subject to availability.

To confirm a reservation of Yorktowne Farms, the client will pay 50% of the venue price, the security deposit, with the remaining balance due 90 days prior to the scheduled event date.

 

Cancellations

In the event of an emergency or weather closing, the entire fee will be applied toward the rescheduled date/time. The main contact listed on the reservation will be notified by Yorktowne Farms staff.   It is the responsibility of the renter to notify all attendees. Ground use for ceremonies is dependent on weather. Inclement weather may prevent the ceremony from taking place outdoors. The client in conjunction with the manager must decide no less than 3 hours prior to the ceremony if the ceremony will not be held outdoors due to weather. If the outdoor ceremony is cancelled due to weather the ceremony can be moved inside the barn. 

Yorktowne Farms reserves the right waive fees at their discretion, with approval by an authorized person. 

In the event that an organization or individual cancels a reservation, the organizer will notify Yorktowne Farms.

The applicant’s signature on the application indicates an agreement to comply with all Yorktowne Farms policies, procedures, and guidelines. 

 

Publicity/Directions/General Use

Publicity for a meeting must clearly identify the sponsoring group or individual. Publicity cannot state or imply that Yorktowne Farms is a sponsor or co-sponsor of an event without its express permission. Yorktowne Farms main phone number and website may be listed as a source for directions and general information about the facility. 

Persons attending the event are subject to Yorktowne Farms rules and regulations. Failure to comply could result in removal from the property and refusal of future access. 

Organizations and individuals using Yorktowne Farms space do so at their own risk. The organizer is responsible for the use of the space and for the actions of their guests. 

Children under the age of 12 may not be left unattended at any time. 

The wedding party and guests must remain within the fenced area surrounding the wedding venue.  Areas occupied by horses are off limits.

Organizations and individuals using Yorktowne Farms space must observe public accommodation provisions of the Pennsylvania Human Relations Act under which it is “unlawful to discriminate against any person in the full use and enjoyment of such public accommodation, on the basis of race, color, religion, sex, ancestry, national origin, handicap, disability, use of guide or support animals due to blindness, deafness, or physical handicap or because the user is a handler or trainer of guide or support animals.” 

 

Restrictions

The following are strictly prohibited : smoking of Cigarettes and cigars except in designated outdoor areas, vaping of any kind, any candle with an open flame, no animals unless approved by staff, no paper lanterns, or glitter. No items may be nailed to the doors, windows, walls, or floors. Fog machines, pyrotechnics, displays or props involving water, and other special effect equipment with potential for fire or water damage are prohibited in all indoor spaces. 

Rentals are not transferable to another individual or organization 

 

Damages

The organization or individual reserving the space assumes all responsibility for damage to Yorktowne Farms property and for leaving the premises in the same condition in which it was found. Damage to the facility or equipment will be billed directly to the organization or individual responsible for the venue as indicated by the application signature. Any damage is to be reported immediately to a Yorktowne Farms staff member.  If there is any damage, breakage, theft, breach of communicated time limit or excessive clean up, the amount to cover such occurrence will be charged to the organization or client.

Disclaimers

Yorktowne Farms is not responsible for damage to or theft of equipment used or left, including damage to software by computer viruses.  Yorktowne Farms will notify the organizer of any equipment left behind and will allow 15 days for its retrieval. At that time, the items will be disposed of at the discretion of Yorktowne Farms.

Yorktowne Farms reserves the right to revoke permission granted to organizations and individuals for use of space.

Yorktowne Farms shall not be liable to any group, organization, or person attending an event.   Any group, organization and person, jointly and severally, hereby agrees to, and shall indemnify and hold harmless Yorktowne Farms, its employees, or owners from any and all claims, suits, damages, losses or injuries which they may sustain, or are alleged to have sustained, while using the venue including, but not limited to, any ceremony area, the barn, food prep area, rest room facilities and means of egress and ingress to the facility, parking area, areas leading to the parking area, or the Codorus Creek, its banks, or any area leading to the Codorus Creek.
